If you are somebody who likes to take a printed copy of your diary with you when you leave the office, be sure to use our designated ‘Print Diary’ button so that all of the important information is included in the print out.Â
The ‘Print Diary’ button is an option in the Appointments options menu. Go into your preferred diary view, go to the Appointments Options menu and select the print option:
You don’t need to edit the diary view beforehand to select certain appointments or dates as the print option asks for this information.
When the print window opens:
A print preview will open:
Appointments are listed in time and date order. The ‘type’ column states the nature of the appointment, and for viewings it will confirm whether the appointment is set as ‘Confirmed’ or ‘Pending’ in Expert Agent. The ‘Details’ section shows you all of the property and applicant information including contact details, and other useful information such as the key number, alarm codes, and any additional viewing arrangement notes added or internal notes written when booking the appointment.
‘Print’ at the top of the preview will allow you to select your printer and print the document.Â
Remember that as Expert Agent is web-based, it isn’t essential to print your diary before leaving the office – you could log in from a smart device with the internet. To do this you just use the internet browser available on the device, go to the usual Expert Agent web address (www.expertagent.co.uk) and log in as normal.Â
(If you are showing Cancelled Appointments in your Diary, when you Print the Diary the Cancelled Appointments will be printed out as well)Â
If you are somebody that uses Outlook and has your email account linked up with your smart device, you may want to consider syncing your Expert Agent diary with Outlook so that your appointments are also recorded on your phone’s calendar.
There is a tick-box on your staff profile when accessed through Configuration that would need to be ticked for you to be able to do this. Only super users can access configuration so if you aren’t a super user you would need to speak to your boss regarding this.Â
The tick-box is on your staff profile when accessed through Business Configuration – Agency Staff:Â
Once ticked, you’ll be able to right click in your appointments and select ‘Sync with Outlook’ which sends the appointment through:
Syncing is done on a per-appointment basis.Â
The other thing you may wish to do to help when you are out of the office is enable the viewing and valuation SMS reminders. This was touched upon when looking at staff profiles, and means that 20 minutes prior to the start time for a viewing or valuation appointment the negotiator assigned to conduct the appointment will receive a text reminder.
