Each action menu will differ slightly, depending on which grid you are in (i.e. Applicant, Properties, Viewings etc.). We will visit the differences between the action menus when we focus on those parts of the system. All grids will, however, have certain Action Menu Options in common. These are covered below.
Clear Filters
If you arrive at a grid and it says “Grid is Filtered” on the right below the menu buttons, you’re not seeing all of your data – just right click and choose Clear Filters. It is important to remember this!
Once you have cleared your filters the status will then show as “Active Applicants Only”
Include/Exclude All
For the more specific selections use the “Exclude/ Include All” button from the Action Menu then just select the records you want to work with.
The “Include/Exclude All” buttons will either tick or remove all records in the grid.
Show/Hide the Tool Tip
Depending on your screen resolution, when you open a grid the Tool Tip at the top will either remain open or automatically minimise. Simply use the arrow in the top right hand corner to expand and collapse the Tool Tip as relevant:
Lock and Callout
The Lock and Callout feature is beneficial if you would like to do a callout to all of your customers from the Grid, however as you hover over any record the Tool Top will change. In this case you can lock a specific record down so you can hover over phone numbers to call them out.
Click in the “Lock” column next to the appropriate record – the record is now locked.
The Tool Tip is locked – it shows the locked record only. Now you can tick on links like phone numbers, 'Show Suitable Properties' etc.
When finished, click on the padlock again to unlock.
Wild Cards
The Wild Card is a fantastic feature.
If you want to filter on a column “containing” a letter or phrase rather than “starting with” then bracket the letter(s) with the percentage sign %. This acts as a 'wild card' meaning the field is searched for any reference to the phrase you have entered. In the example below we are looking for an applicant called Verity Stanford Tuck just using the phrase "Tuck":
Entering %tuck% into the search finds the applicant, whereas simply typing 'tuck' doesn't because it is not the start of the phrase.
Saved Selections
There may be times in which you cannot obtain the desired selection due to there not being the relevant columns available. In these cases Advanced Selection can help.
The Advanced Selection option in the Action Menu, on the Applicant and Property Grids, gives you further fields to filter on therefore hopefully returning the exact selection you require.
Right-Click on the grid and select 'Advanced Selection' as shown below:
In this example we’ll do an Advanced Selection in the Applicant grid for all of those applicants with the status “Offered Considering” for Mortgage Quotes.
It is important these steps are followed first otherwise the correct fields will not display on the subsequent page tabs.
Under the 'Options 2' page tab in the 3rd column are all the Mortgage Quotes status’s to filter on - select 'Offered Considering'.
There are 2 more page tabs enabling you to search on further information for example: Essentials, Property Types, Locations etc.
