In the tenancy form you will find the statements tab, clicking into this will show the current position and balance of the tenant/s. Each transaction will indicate who it relates to along with the date of the transaction and details of what that transaction is:
- You are able to stipulate what date range you would like to view.
- By clicking the arrow next to any receipt, you are able to see full details of the receipt, along with any allocations that have been made with that receipt.
- By clicking on the arrow next to any Sales Invoices, you are able to see the individual items that were charged, together with which nominal ledger they have been put to and the net and VAT breakdown. You can also use the blue print button here to print a copy of the sales invoice. Clicking on this button will open the select a template screen.
- The balance outstanding amount at the bottom shows the difference between the Charge and Receipt columns on the statement. If an invoice is still outstanding however a payment has been received but not allocated the balance outstanding will show as £0.00.
- At any point we can print or email the current statement by clicking the “Print Statement” button -further details below, or export the statement to a CSV.
- This column will indicate if the receipts and payments have been reconciled or not.

Printing Tenancy Statements
When you click “Print Statement” the following window will appear
- You are able to stipulate the date range that you would like the statement to cover.
- Choose the Statement number if you would wish to have one.
- Whether you would like EA to update if the Lasted Printed Date so that when you next come into the Print Statement script the date period will start from the “To” date selected now and if you would like the Statement Number field to be updated.
- Clicking the Save Icon will then bring up the Select Template window.
To generate the statement, you need to click on the row of the template that you wish to use.
When you have chosen your template the preview window will open from which you are also able to make any amendments to the format of the statement, before printing or emailing the statement.
You are also able to change the recorded statement number via the Details tab in the Tenancy record.
If you select to email the statement to the tenant or relevant party then the following window will appear:
- You can enter a subject for your email which will be Tenancy Statement as default. You can also change the display name and change the "reply to" address if required.
- Any email address which is logged on the applicant record will appear in the drop down box so you are able to send to more than one recipient. You are also able to manually enter any additional email addresses in the Optional CC field.
- You need to chose whether you wish the statement to be sent in the body of the email or as an attachment. If you chose the latter then you will need to select a template for the body of the email. Once you have selected one it will be displayed as an extension of this window where you can make any amendments to the text.
- You are able to attach any documents required at this point.
- Clicking the paper aeroplane icon will start the email process.
