This tab allows you to manage keys to the property as well as make notes with regards to viewing arrangements and the occupiers of the property. For a sales property it’s likely that the vendor will live at the property and this may not be needed, but for lettings and cases where vendors do not live at the property then this would be useful.
To add the key details for the property:
- Information on any important viewing arrangement notes also need to go on the Access page tab. These are visible from the diary so that when you are booking in a viewing you can make sure you are adhering to any arrangements made with the vendor prior to booking in a new appointment. Enter any 'Occupier' details if needed.
- Click ‘New Key’ to enter new key details.Â
- Complete the key number, status and notes, and click ‘Save’.
- When keys need to be reserved or are loaned out, click on ‘Reserve or Loan Key’ to add the details. The following window opens:

- Select the relevant key.
- Complete the check-out date, the anticipated check-in date and the key status – loaned or reserved.Â
- Add notes if needed.
- Select any records relevant to this action - in the example above the keys were loaned to a building contractor so the contractor’s details have been chosen and assigned.Â
- Click ‘Save’.Â
You will then be returned to the Access page tab with the key status having changed to the new status, the key activity will be listed under key history and there will be options to ‘delete’, ‘mark as returned’ etc. as appropriate depending on the current key status.
