In this chapter we will look at producing particulars for this property. You should have your brochure templates sitting within the “Our Letters” tab, under the Property Particulars type on the template grid (if you do not have your templates set up please see the Standard brochures using Word chapter). Provided your brochures are sitting in the correct place they will be available to create from the property.
The system will then download the Word Document.
Click the Word Document. This will create your brochure master.
Your brochure master is the created brochure for that property with all relevant text content and images displaying. You are able to make any tweaks and changes to your brochure master. This will not affect your original template.
Note: The price has not yet pulled trough. Please do not think you have done anything wrong at this point. The price will only pull through when you do the final upload step. The reason for this is your price field is dynamic. This means that if there is a price change on the property it will automatically update your brochures upon clicking the “Regenerate PDF” button.
Regardless of whether you make any tweaks and changes to your brochure master you will now need to save it to your local hard drive and then upload it to Expert Agent. Once you have saved the document and you’re ready to upload it you will see the following screen in Expert Agent.
Please Note: If you try and save without selecting a file in the upload field the following warning box will appear:
If the file has been assigned correctly the following message will appear:
Click ‘OK’ to acknowledge and close the window. You will be able to continue working in Expert Agent while your brochure is converted to a PDF, pulling through the price and assigning it to your property record within Expert Agent.
When the brochure has finished creating you’ll get an Expert Agent message. This will appear in the right hand corner of the screen – you’ll see the messenger icon appear.
You don’t have to view the PDF if you don’t want to but it’s a good idea to check that it has generated successfully. Clicking into the message will allow you to do this. To get to the message, click on the messenger icon:
There will be a message there confirming in the title that the brochure is ready:
Click into the message:
You are able to open the PDF brochure to check it if you’d like to, there’s a regenerate option for if you check the PDF and there are any issues (such as missing images) and there is also a link back to the property.
If you go into the property, your Word Brochure page tab will now display as follows:
Note: The price has now pulled through.
TIP: It may be worth printing a set of the particulars now to send to the Vendor for approval. We will be looking at this process in the next chapter.
You will now have 3 options displaying on the Word Brochure tab:
Open – allows you to open the uploaded Word Master if you need to make any future amendments to your brochure. You must remember to save and upload it again.
Re-Generate PDF – if there has been a price change on the property it will automatically regenerate the PDF for you, so click this button if you've made any other changes (changing photo order, adding text, amending text etc).
Delete – allows you to delete the brochure all together.
