When you are asked to delete an individual's personal data (from the Record, NOT the Grid), you will need to check if they have a pending or accepted offer (Applicant), if they are a potential or current tenant (Applicant, or if they are selling (Vendor) or renting (Landlord) a property with you. You would be advised to action changes in relation to this ongoing business because once you proceed with the deletion, you will not be able to identify the applicant, Vendor or Landlord on the Offer, Tenancy, Property, Viewing etc. Â
Due to the changes in the General Data Protection Regulation coming into force on May 25th 2018, Expert Agent has made some changes to your software. Â
Â
Please see the GDPR section of the manual for helpful videos and more information but below are some FAQs with regards to Personal Information Requests (Subject Access Requests and Data Portability Requests) in Expert Agent. As always, if in doubt on how this regulation affects you, please see the ICO website. Â

If I am asked to show a Client what data I hold on them, is there an easy way to get this to them?
The best place to upload documents to a record is the Events tab. You may want to think about adding an Event Types of "Scanned Documents" or similar so that you can filter on the Events tab easily to find these.
Â
On a record (Landlord, Property, Applicant, Offer, Tenancy, Contact etc) you can add Events to the Events tab by click New Event at the bottom (remember the Events tab is always the last tab on any record.Â
Â
On the new event screen, which you can also access from New Event on the Action Menu:Â
1. You have the option to upload documents here. Click on the blue Select button and find the document you wish to upload. Â
2. This is where the Event Type comes in handy. If you change this to "Scanned Documents" (for example), on the Events Tab you can filter on Event Type. Â
3. Add any notes in as needed. Â
4. Press Save. Â
On a Sales Property record you can either add a charge from:Â
Â
1. From the Charges Tab - Add a New ChargeÂ
2. Or from the Action Menu -> Right Click -> Housekeeping -> Sales Accounts -> Make a Charge
Â
You will then get the following screen:Â
Add in your Charge Date, Description, Net, the VAT Rate pulls from Company Details under Configuration, the VAT and Total will auto fill and then press Save. Â
Â
The new charge will then be sitting on the Charges tab:Â
Â
Once the charge has been created you can then create the Invoice for it. Right Click -> Housekeeping -> Sales Accounts -> Create an Invoice:Â
Â
Â
If you have the staff permission to change invoice numbers, you can do so from the screen below otherwise it will auto populate from the last invoice number and then press Save:Â
Â
You then be taken to your Template Grid. If you have an Invoice Template it will be listed here but remember you will always have access to the Expert Agent Default Letters tab. Click on the template you wish to create:Â
Â
This will create the invoice:Â
Â
You can print and post it, or email it from here. Â
